This policy describes how we collect, use, disclose, and safeguard your personal information.

By using our Sites, you consent to this policy. If you do not agree, please do not use our Sites.

1. Information We Collect

1.1 Information You Provide

  • Booking/contact forms: Name, email, phone, preferred property, room type, check-in date, special requests.
  • Guest registration: Full name, DOB, address, employer, phone, email, property/room preferences, duration, guests, pets, purpose, digital signature.
  • Chat messages: Name, email, and message content submitted through our quick contact chat.

1.2 Automatic Collection

  • IP address, browser type, device, pages visited, referrer
  • Accessibility preferences stored in local storage (never transmitted)

2. How We Use Your Information

  • Process reservations, booking requests, and inquiries
  • Communicate about availability, payments, and services
  • Manage guest relationships through Gearco
  • Improve our websites and services
  • Measure whether our Facebook and Instagram ads lead to visits and reservation requests (Section 3 and our cookie policy)
  • Comply with legal obligations

3. Third-Party Services

Gearco (Property Management): PCI DSS compliant payment and guest management. gear.co

Netlify (Hosting & Forms): Secure form processing and hosting. Netlify Privacy

Google LLC (Google Analytics 4): loaded on every page to count visits and see which pages, sites and room types people look at; not loaded when your browser sends a Global Privacy Control or Do Not Track signal; Google Signals is off and reports are kept for 14 months. Apart from the Google Tag Manager loader described below, no other Google script, font or map embed loads on this site; the neighbourhood map draws OpenStreetMap tiles. Google Privacy

Microsoft Corporation (Microsoft Clarity): loaded on every page, after your first interaction or three seconds, to build heatmaps and masked session replays that show us how pages are used; not loaded when your browser sends a Global Privacy Control or Do Not Track signal; strict masking is on, so text and form entries are replaced by placeholders before they leave your browser, and Microsoft keeps recordings for 30 days (a small random sample, and any we mark as favourites, for up to nine months; heatmap and aggregate data longer). Google Analytics, Clarity and the Meta Pixel are all loaded through Google Tag Manager, a Google loader that sets no cookies of its own. Microsoft Privacy Statement

Meta Platforms, Inc. (Meta Pixel and Conversions API): the pixel is loaded on every page to measure our Facebook and Instagram advertising and to show a reminder ad to people who visited this site; it is not loaded when your browser sends a Global Privacy Control or Do Not Track signal. When you send the reservation form, our server also sends Meta a copy of that one event, with your name, email address and phone number hashed rather than in plain text, so that it is counted even when the pixel was blocked; it is not sent when your browser sends either signal. Our cookie policy lists exactly what each receives. Meta Privacy Policy

4. Cookies & Local Storage

We store accessibility preferences (theme, font size, contrast) in local storage on your device. This data is never transmitted. Google Analytics sets the first-party _ga cookies, Microsoft Clarity the _clck and _clsk cookies, and the Meta Pixel the _fbp (and, after a Facebook or Instagram link, _fbc) cookies described in our cookie policy; none of them is set when your browser sends a Global Privacy Control or Do Not Track signal.

5. Data Sharing

We do not sell or trade your personal information. We share data only with the service providers in Section 3, with Meta in the limited way Section 8 and our cookie policy describe, when required by law, or to protect rights and safety.

6. Data Security

HTTPS encryption, secure Netlify form submission, PCI-compliant Gearco payments, limited employee access.

7. How Long We Keep It

Enquiries that do not become a booking: about a year, then deleted. Guest and booking records: kept for as long as the tax, lodging and business record rules require. Website server logs: our host’s ordinary short retention cycle, used to keep the sites online and to spot abuse. Accessibility preferences: never retained by us at all, because they stay in your own browser.

8. Privacy Laws People Ask About

We would rather tell you where you actually stand than imply a compliance department that does not exist behind a small family business.

California. The CCPA and CPRA apply to businesses far larger than this one, so as written they do not cover us. We will still honour a California resident’s request to know, delete or correct, using the contact details above. We do not sell personal information. Loading the Meta Pixel, and our server’s copy of a reservation request to Meta, are the only things we do that could count as “sharing” for cross-context behavioural advertising under the CPRA, so we give you the opt-out anyway: send a Global Privacy Control or Do Not Track signal from your browser and the pixel is never loaded and our server sends Meta nothing about your reservation.

Europe and the United Kingdom. We operate motels in Twin Falls, Idaho. We do not offer services in the EU or the UK and we do not monitor anyone’s behaviour there, so the GDPR and UK GDPR do not ordinarily reach us. If you are there and have contacted us anyway, you can still ask for access, correction, deletion or portability, or object to our use of your information, and we will deal with it.

9. Your Rights

You have the right to access the information we hold about you, the right to correct anything that is wrong, the right to delete what we are not legally required to keep, the right to portability of your data, and the right to opt out of marketing contact from us.

Ask at newleafmotels@gmail.com or (208) 733-5151. You do not need to give a reason, and you will not be treated differently for asking. We respond within 30 business days.

10. Children’s Privacy

Our sites are not directed to children under 16, and we do not knowingly collect data from children. That is a broader commitment than the United States Children’s Online Privacy Protection Act, COPPA, requires: COPPA sets its threshold at children under 13, and we hold ourselves above it.

If you believe a child has sent us information through one of our sites, email us and we will delete it.

11. Contact

To contact us about privacy questions, or to make any request on this page, email newleafmotels@gmail.com or call (208) 733-5151. There is no privacy department and no data protection officer; the owner answers these directly.
